Through this Privacy Statement, HC Eindhoven informs its members, among other things, how it handles the personal data of its members, volunteers, employees and users of the website: www.hceindhoven.nl. By means of this Privacy Statement, HC Eindhoven implements the information obligations arising from, in particular, Article 13 and Article 14 of the General Data Protection Regulation. (hereinafter referred to as GDPR).

 

Explanation of the terms used:

  • Data subject: any person for whom HC Eindhoven, as controller, processes personal data as referred to in the GDPR.
  • Personal data: any data that can be directly or indirectly traced back to a data subject as referred to in the GDPR.
  • Processing: any action as referred to in the GDPR that relates to a data subject. personal data. This may include, for example, the collection, storage and use of personal data.

General

HC Eindhoven processes personal data in accordance with the GDPR and Dutch law and in a proper and careful manner. Appropriate technical and organizational measures have been taken to ensure the security of personal data. Personal data will only be processed for the purposes described here. Personal data will only be processed if and to the extent that at least one of the following principles from the GDPR is met:


  • the processing is necessary for the performance of a contract to which the data subject is party, or in order to take measures at the request of the data subject before concluding a contract,
  • the processing is necessary for compliance with a legal obligation to which HC Eindhoven is subject,
  • the processing is necessary to protect the vital interests of the data subject or of another natural person,
  • The data subject has given consent to the processing of his personal data for one or more purposes,
  • the processing is necessary for the performance of a task general interest or of a task in the context of the exercise of public authority assigned to HC Eindhoven,

Purposes

HC Eindhoven processes personal data of data subjects to carry out its association activities, more specifically:

  • conducting its membership administration and the (invoice) administration of donors, relations and sponsors,
  • facilitating hockey sports, including participation in matches, competitions, training, tournaments and management of teams,
  • organizing events at or at HC Eindhoven , for members, for former members, donors/relations and/or sponsors,
  • the management and operation of the accommodation, the management of
  • the organization of HC Eindhoven, such as administering the various committees,
  • informing members about activities and organization of HC Eindhoven, including via electronic mail,
  • screening volunteers,
  • handling complaints and registering incidents,
  • administration of its volunteers and employees,
  • assessing a volunteer's application for membership,
  • offering and managing LISA for its members and volunteers and to obtain information, for example through cookies, about its quality or effectiveness,
  • ensuring safety and a good atmosphere at the HC Eindhoven accommodation or for the benefit of HC Eindhoven events,
  • performing analyzes of personal data for statistical purposes,
  • for purposes about which the data subject is informed separately in advance,
  • to comply with legal requirements, such as requirements relating to accounting and tax legislation.


Personal data will not be further processed by HC Eindhoven in a manner that is incompatible with the purposes for which the personal data was obtained.


Sound and Vision

During training, competitions and activities at or from HC Eindhoven, photos are regularly taken and videos are made of actions and atmospheric images depicting members of HC Eindhoven, members of other associations or visitors. These images can be used on the website or social media. If there are any objections to this, this must be communicated via privacy@hceindhoven.nl. The relevant footage will then be deleted. HC Eindhoven has the right to reject the removal request with regard to general action images or general atmospheric images in which the person concerned is not centrally and clearly recognizable or if the person concerned is clearly posed for the photo.


Cookies

HC Eindhoven uses so-called 'cookies'. Cookies are small text files that a computer stores when the website is visited. HC Eindhoven uses Google Analytics on the website www.hceindhoven.nl. Recipients of personal data

HC Eindhoven does not share personal data that it processes with third parties, except to the extent that this article provides otherwise.

HC Eindhoven may provide personal data to third parties without obtaining permission if this is necessary on the basis of a legal requirement or in an emergency, to the extent that, in the reasonable opinion of HC Eindhoven, this is in the interests of the data subject.

For the organization of activities for which a data subject has registered, HC Eindhoven is entitled to provide the necessary personal data to third parties at the organization. For example, in the context of the organization of the hockey competition, data from members and volunteers (such as referees) is passed on to the KNHB.

HC Eindhoven may engage processors or other service providers to support its administrative activities, for example for contribution administration and accounting. HC Eindhoven can also engage processors or other service providers for the technical support of its processes. An agreement will be concluded with processors that meets the requirements set by the GDPR, including with regard to security and confidentiality.

HC Eindhoven may, in all other cases, provide personal data to a third party if it has obtained the consent of the person concerned.


Retention period

HC Eindhoven does not store personal data for longer than is necessary for the purposes referred to in this statement. Unless the person concerned gives permission for a longer retention period, personal data in the membership administration will be kept for a maximum of 7 years after the end of membership (the period of the legal accounting obligation and tax retention period).


Rights of the person involved

The data subject has the right to inspect his/her personal data at any time and can ask HC Eindhoven for rectification or deletion of the personal data or a restriction of the processing concerning him/her, all this taking into account the restrictions imposed by the GDPR.

If the data subject has previously given consent, this can be withdrawn at any time, without affecting the lawfulness of the processing based on consent before its withdrawal.

The data subject has the right to file a complaint with the Dutch Data Protection Authority.

If the data subject is requested to provide personal data, HC Eindhoven will identify the personal data that are optional as such. HC Eindhoven needs the personal data that is requested when applying for membership or registering as a volunteer and that are not identified as optional in order to comply with its legal obligations or to carry out its association activities, including the exercise of its rights under the articles of association. , regulations of HC Eindhoven. If these mandatory personal data are not provided, HC Eindhoven is entitled not to process the application.
